SnowLink Privacy Policy

Who we are
SnowLink (snowlinkpro.com) provides snow and ice management software to businesses. If you use the SnowLink app as an employee or crew member of one of our customers, that company decides how your work data is used, and SnowLink processes it on their behalf. Contact: team@snowlinkpro.com.
Data we collect
- Account information: name, email address, role, and the company and crews you belong to.
- Precise location: Collected only while you are signed in as a field worker and have active work, such as Drive mode or a visit in progress. This includes while the app is in the background during that work. Used to show your crew’s position to your dispatcher, detect arrival at job sites, and record service history. Location collection stops when you have no active work.
- Photos and videos you take or attach: before/after proof of service, site photos, equipment inspection photos.
- Audio, only when you use voice input: turned into text by your device’s speech recognition service.
- Content you send to the in-app AI assistant: your questions and the work information needed to answer them.
- Work activity: visits started and finished, services performed, skips, delays, notes, messages, requests, materials used, site conditions, and equipment check-outs and check-ins.
- Device information: a push notification token, app version, connectivity and battery state, used to deliver notifications and keep the app working offline.
- Usage and diagnostics: how features are used and errors, to improve the app.
How we use it
- To provide the service: dispatching, live crew location during work, proof of service, history and reports for your employer.
- To send notifications about your work.
- To answer your questions through the AI assistant.
- To secure accounts and prevent misuse.
- To support and improve the app.
We do not sell personal data, and we do not use it for third-party advertising.
Who we share it with
Your employer (our customer) and the dispatchers and managers it authorizes. During work, they see your location, your work activity, and your photos.
Service providers who process data on our behalf, only to operate SnowLink:
- cloud hosting and database (Render, Supabase);
- file and photo storage (Supabase Storage);
- push notifications (Google Firebase Cloud Messaging, Apple Push Notification service);
- maps (Google Maps), address lookup (OpenStreetMap Nominatim), and weather by location (U.S. National Weather Service);
- email delivery (Resend);
- product analytics (PostHog);
- the AI assistant (OpenAI), which receives the content of your assistant requests.
Law enforcement or regulators, when required by law.
Retention
We keep personal data for up to 7 years, then delete or anonymize it, unless the law requires us to keep it longer.
Security
Data is encrypted in transit, and access is limited by role and company.
Your choices and rights
Device permissions: you can turn off location, camera, microphone and notification permissions in your device settings. Some features, such as live tracking during work and proof photos, require them.
Access or deletion: to request access to your data, or deletion of your data or account, email team@snowlinkpro.com. You can also follow the steps on our account deletion page. SnowLink handles deletion requests.
Children
SnowLink is a business app and is not intended for children under 16.
